The Contacts module manages individuals who aren’t platform members but have a relationship with your organization. Track donors, newsletter subscribers, event attendees, and other external contacts.

What are Contacts

Contacts are external individuals who:
  • Subscribe to newsletters
  • Donate without creating accounts
  • Attend public events
  • Have business relationships with your organization
  • Are potential future members
Contacts are different from Members. Members have accounts and can log in. Contacts are external records.

Creating Contacts

Manual Creation

Navigate to Contacts

Go to Contacts in the sidebar.

Click Create Contact

Click the + Create Contact button.

Fill in details

Enter name, email, and other relevant information.

Set preferences

Configure newsletter subscription and status.

Save

Click Save to create the contact.

Automatic Creation

Contacts are automatically created when:
  • Someone donates without an account
  • Someone subscribes to your newsletter
  • Someone registers for a public event
  • Imported from external systems

Newsletter Management

Subscription Status

Whether the contact is subscribed to newsletters.

Subscribing Contacts

  1. Edit the contact
  2. Toggle Newsletter Subscription on
  3. Save

Unsubscribing

Contacts can unsubscribe via:
  • Link in newsletter emails
  • Contact preferences
  • Admin manually updating
Always honor unsubscribe requests promptly. This is legally required in most jurisdictions.

Contact Status & Tags

Status Tracking

Tags

Add tags to categorize contacts:
  • Donor
  • Newsletter
  • Event Attendee
  • Partner
  • Vendor

Import & Export

Importing Contacts

Import contacts from CSV files:

Prepare CSV

Create CSV with columns: name, email, phone, country, town, etc.

Navigate to Import

Go to ContactsImport.

Upload CSV

Select your CSV file.

Map fields

Match CSV columns to contact fields.

Review and import

Preview the import and confirm.

Exporting Contacts

Export contacts for external use:
  1. Go to Contacts
  2. Apply filters if needed
  3. Click Export
  4. Download CSV file

Custom Fields

Add custom fields to track additional information:
  1. Go to SettingsCustom Fields
  2. Create fields for Contacts
  3. Fields appear on contact forms

Identity Verification

For donations requiring identity verification:

  • Large donations
  • Regulatory compliance
  • Event registration

Converting Contacts to Members

When a contact wants to become a member:

Find the contact

Search for the contact in the Contacts list.

Click Create Account

Use the Create Account action.

Complete registration

Fill in additional member details.

Invite

Send invitation to complete account setup.
The contact record links to the new member account.

Use Cases

Track people who subscribed through your website or events.
Maintain records of external donors for acknowledgment and tax receipts.
Keep records of non-member event participants.
Track contacts at partner organizations for collaboration.
Track potential members before they join.

Best Practices

Regularly update contact information and remove outdated records.
Develop a tagging strategy and apply tags consistently.
Respect communication preferences and unsubscribe requests.
Remove bounced emails and inactive contacts periodically.
