Enabling Waitlist

Enable the waitlist module. When active, users can join a waitlist when membership is full or closed.

Configuration Options

When enabled, users can remove themselves from the waitlist. When disabled, only administrators can remove entries.
notifyAdminsOnNew

Send email notifications to administrators when someone joins the waitlist.

How the Waitlist Works

User Experience

User attempts to register

When membership is closed or full, user sees waitlist option.

Joins waitlist

User provides their email and basic info to join the waitlist.

Confirmation

User receives confirmation that they’re on the waitlist.

Notification when spot opens

When space becomes available, waitlisted users are notified.

Complete registration

User can then complete full registration.

Administrator Experience

View waitlist

Access the waitlist from the admin dashboard.

Manage entries

Review, prioritize, or remove waitlist entries.

Invite from waitlist

When spots open, invite people from the waitlist.

Track conversions

Monitor how many waitlist members convert to full members.

Waitlist Priority

Administrators can manage waitlist priority:
  • First come, first served - Default order by signup date
  • Manual prioritization - Reorder entries based on criteria
  • Priority settings - Configure rules for automatic prioritization

You can use both:
  1. Waitlist when capacity is full
  2. Adhesion process for those invited from waitlist

Notifications

For Users

  • Confirmation of waitlist signup
  • Position updates (optional)
  • Invitation to register when spot opens

For Administrators

  • New waitlist entry (if enabled)
  • Waitlist size alerts (configurable)

Best Practices

Let waitlisted users know approximately how long they might wait.
Periodically email waitlisted users with updates or content to maintain interest.
Be clear that being on the waitlist doesn’t guarantee membership.
Remove entries that have been waiting too long without conversion.
Allowing self-removal keeps the list accurate and reduces admin work.
