The E-Voting module provides secure, anonymous voting and polling functionality for your organization. Run elections, gather member opinions through polls, and ensure democratic decision-making with transparent results.

The Voting module must be enabled: SettingsVotingModule Settings:

Voting vs. Polls

Orgo supports two types of voting:

Vote Statuses

Each vote progresses through statuses:

Creating a Vote

Navigate to Voting

Go to Voting in the sidebar and click Create Vote or Create Poll.

Basic Information

Enter the vote/poll title and description.

Set Schedule

Define start and end dates/times for the voting period.

Add Options

Add the choices voters can select from.

Configure Settings

Set visibility, eligibility, and result options.

Publish or Save Draft

Save as draft for later or publish immediately.

Vote Collections

Vote Collections group multiple related votes together, useful for:
  • Elections with multiple positions
  • Multi-question referendums
  • Sequential decision-making

Creating a Collection

  1. Go to VotingCreate Collection
  2. Add name and description
  3. Set overall start/end dates
  4. Add individual votes to the collection
  5. Publish
Members see the collection as a unified voting experience.

Eligibility

Organization-wide Votes

By default, all active members can vote in organization-wide votes.

Group-specific Votes

Link a vote to a specific group:

The group where this vote is held. Only group members can vote.

Event-linked Votes

Link a vote to an event:

The event this vote is associated with. Typically only event attendees can vote.

Voter Experience

Viewing Available Votes

  1. Go to Voting in sidebar
  2. See list of votes:
    • Active Votes - Currently open for voting
    • Upcoming - Scheduled to open
    • Past Votes - Closed with results

Casting a Vote

  1. Open the vote
  2. Review options and any descriptions
  3. Select your choice
  4. Confirm your vote
  5. Receive confirmation
Once cast, votes typically cannot be changed. Some configurations may allow vote modification while the vote is open.

Viewing Results

Results are visible when:
  • Vote is closed (always)
  • Vote is live AND preliminary results enabled
  • You’re an administrator

Results & Reporting

Result Display

After voting closes:
  • Total votes cast
  • Votes per option
  • Percentage breakdown
  • Participation rate (votes cast / eligible voters)

Winner Determination

Results show all options ranked by vote count. Orgo doesn’t automatically declare winners - administrators interpret results based on organization rules.

Participation Statistics

Track engagement:
  • Total Eligible - Members who could vote
  • Total Voted - Members who cast a vote
  • Participation Rate - Percentage who voted

Vote Administration

Managing Active Votes

As an administrator:
  • Edit - Modify vote settings (limited once votes cast)
  • Extend - Change end date
  • Close Early - End voting before scheduled time
  • Delete - Remove vote (careful with data)
Votes with cast votes cannot be edited significantly. Create a new vote if major changes needed.

Vote Locking

Votes automatically lock when:
  • End date/time is reached
  • All eligible members have voted (early close)
Locked votes cannot accept new votes.

Monitoring

During live voting:
  • View participation count (not individual votes)
  • Send reminders to non-voters
  • Monitor for issues

Security & Anonymity

Vote Security

  • Anonymous voting - Individual votes not linked to voters
  • One vote per person - System prevents duplicate voting
  • Audit trail - System tracks that a member voted, not what they voted
  • Time-bound - Votes only accepted during designated period

What Administrators Can See

  • Who has voted (but not their choice)
  • Who hasn’t voted
  • Aggregate results

What Administrators Cannot See

  • Individual vote choices
  • How specific members voted

Event Integration

Link votes to events for:
  • AGM voting - Formal decisions during annual general meetings
  • Conference sessions - Real-time polling during presentations
  • Workshop feedback - Quick polls for session preferences

Creating Event-linked Votes

  1. Create or edit an event
  2. Go to Voting tab
  3. Create vote linked to this event
  4. Attendees can vote from event page

Use Cases

Run formal elections for board positions with multiple candidates per seat.
Put motions to member vote with Yes/No/Abstain options.
Gather member input on proposed policy changes.
Poll members on preferred dates or times for events.
Get instant member opinions on current topics.
Formal voting on bylaw or constitution amendments.

Best Practices

Write unambiguous questions so voters understand exactly what they’re deciding.
Allow enough time for all eligible members to participate. Consider time zones.
Announce votes in advance so members can prepare and participate.
Use draft mode to review votes before publishing.
Record vote results in meeting minutes or official records.
Ensure voting procedures comply with your organization’s governing documents.

Troubleshooting

Check: Is the member active? Are they eligible for this vote? Is the voting period open? Have they already voted?
Check: Is the vote closed? Is preliminary results enabled? Are you an admin?
All eligible members may have voted, triggering automatic close. Check participation stats.
Once voting starts, changes are limited. For significant changes, close the current vote and create a new one.
